Job Description

Location: Raleigh (near NC State campus)

Full Time, 100% on-site position.

Pay: $70-$90/k

MUST have exceptional calendar management and travel arrangement skills.

Responsibilities:

? Provide direct administrative support to the CEO, including calendar coordination, meeting logistics, and executive communications.

? Serve as a liaison between the CEO and internal Directors, ensuring timely communication and follow-through.

? Handle sensitive and confidential information with discretion and sound judgment.

? Act as the first point of contact for all incoming office phone calls; professionally screen, prioritize, and route callers to the appropriate team member.

? Maintain a welcoming and professional tone that reflects the company's brand and values.

? Coordinate and book domestic and international travel for the CEO and Director of Operations, including flights, hotels, ground transportation, and itineraries.

? Prepare travel documentation and ensure schedules align with business priorities.

? Partner with the fulfillment team to assist in organizing materials for conferences, trade shows, and events.

? Help ensure all required materials, shipments, and supplies are prepared and delivered on time.

? Manage ordering and inventory of office supplies, including badges, business cards, paper products, kitchen supplies, and other administrative materials.

? Coordinate with vendors and internal stakeholders to ensure timely delivery and cost-effective purchasing.

Requirements:

? 3+ years of experience as an Executive Assistant, Administrative Assistant, or similar role supporting senior leadership.

? Strong organizational and time-management skills with the ability to manage competing priorities.

? Proficiency with common office tools and systems (e.g., calendar management, email, document creation) as well as Microsoft Excel and Google Sheets, including the ability to create, maintain, and analyze spreadsheets using formulas, data organization, and reporting tools.

? Working knowledge of project management and event planning tools (e.g., task tracking, timelines, coordination platforms) to support executive initiatives and conference logistics.

? Demonstrated ability to manage multiple projects simultaneously while meeting deadlines and maintaining accuracy.

? Excellent verbal and written communication skills.

? High level of professionalism, discretion, and attention to detail.
